HubSpot Active Lists You Need to Set Up Immediately

When you think about the contacts in your HubSpot CRM, do you really know who they are or how they’ve interacted with you?

If so, you’re doing a fabulous job managing HubSpot! But if not, we can easily fix that.

HubSpot is a customer relationship management (CRM) platform—hence let's focus on the customer relationship part for a few minutes. When you have a better understanding of who is in your contacts database, you can better segment and communicate in the most effective ways. So how will you figure out who your contacts are? One way is by using lists.

In our recent blog post, we broke down the key differences between the two types of lists—active lists and static lists. You can read it here! Let's take it a step further and set up some active lists that can help you better understand who is in your CRM.

Here are 13 active lists you need to set up immediately to better understand and segment your audience:

List for contact segmentation: 
  • Lifecycle stages – one list for each stage as well as one for it being unknown
  • Lead status – one list for each status as well as one for it being unknown
  • Original source – one list for each source as well as one for it being unknown
  • Contacts in each associated Deal stage – one list for each stage
  • Marketing contact status – one list for each status (for starter, professional, and enterprise plans only)

Lists based on marketing activity: 
  • Marketing emails opened is greater than X – you can set this to whatever amount, I recommend 10 and 20
  • Marketing emails clicked is greater than X – you can set this to whatever amount, I recommend 10 and 20 – this indicates a high level of interest
  • Last marketing email open date is greater than X days ago – you can set this to whatever timeframe, I recommend 31, 91, and 181 days
  • Sends since last engagement is greater than X – you can set this to whatever amount, I recommend 10 and 20 – this helps you identify who is no longer interested

HubSpot Active Lists You Need to Set Up Immediately - Last Marketing Email Open Date

Lists based on sales activity: 
  • Last engagement date is less than X days ago – you can set this to whatever timeframe, I recommend 8, 31, and 91 days; you could also set this to “is more than X days ago” and use 7, 30, and 90
  • Recent sales email open date is less than X days ago – you can set this to whatever timeframe, I recommend at a minimum using within 8 days ago to know who has recently opened a sales email

Lists for data cleansing:
  • Unsubscribed contacts – any contact who has unsubscribed to any or all of your marketing email subscriptions
  • Bounced contacts – any contact who has had an email either hard or soft bounce or their bounce reason is known

When you set these active lists up in HubSpot, you can more easily understand who your contacts are and how they've interacted with you. You may be surprised how many leads you bring in that don't get a follow-up and go stale (that could have led to a possible conversion).

And don't get me wrong, there are plenty more lists you can set up to help you identify and categorize contacts, but these are some of the ones I think are most important and that you NEED to set up immediately!
